Scheduled Tasks
A scheduled task is one specific instruction that Assistela repeats at an interval, daily, weekly, or once.
What Scheduled Tasks are for
Think of a scheduled task as a small assistant with one job. You save an exact instruction and a time. Assistela then runs it without requiring a new message from you every time.
Daily briefing
Summarize today’s calendar, important email, and Reminders every workday.
Regular summary
Prepare a Friday review of open tasks or a selected project.
Change check
Check a public page at an interval and report only a detected change.
Device status
Read an allowed Home Assistant sensor once a day.
Create a task step by step
Open Scheduled Tasks
In the main window sidebar, click Scheduled Tasks, then click New.
Name it
Enter a short description in Task title, such as “Morning work briefing.”
Choose the schedule
Select Interval, Daily, Weekly, or Once. Then set the minutes, time, weekday, or exact date.
Write a self-contained instruction
In Instructions, state the goal, sources, and output. A good instruction makes sense without earlier chat: “Every morning, review today’s work calendars and Reminders. Return a short time-ordered list. Ignore private calendars.”
Decide about recent chat
Enable Use recent chat messages only when the task must continue the latest conversation. For stable recurring work, leave it off and put all important context in the instruction.
Save and test
Enable the task, click Save, and then Run Now. Review the result before relying on automatic runs.
What a task can use
A task can use only tools and services that are already configured and enabled in Assistela. It can read email, calendar, or Home Assistant, work with the web, create a summary, or prepare a draft message. If it reaches a protected step, it can pause with Needs approval.
Run history shows whether the task completed, had nothing to report, failed, was interrupted, or needs your decision. For a failure, open the detail and check the AI account, connected service, and permissions first.
Three similar features, three different jobs
- Scheduled Tasks: Assistela executes a specific instruction on a schedule.
- Personal Assistant: periodically considers several areas and contacts you only with something useful.
- Apple Reminder: reminds you about a task; it does not run Assistela work by itself.
For dependable automatic execution, the Mac must be powered on and signed in, and Assistela must be running. Do not schedule unattended risky recurring payments, data deletion, or other work where a mistake would have serious consequences.
