Reusable Workflows
Reusable workflows, or skills, are saved instructions for work you want performed in the same way more than once.
What a reusable workflow is
A skill is a named guide for Assistela. Instead of writing a long explanation on every repetition, you save the goal, rules, required inputs, and expected result once. Assistela loads the full workflow only when it is relevant, so it does not fill context unnecessarily.
Consistent output
A recurring report with the same structure, section names, and checklist.
Consistent rules
Processing a file or email with the same safe procedure every time.
Shared conventions
Task format, project names, and preparing a draft before sending.
Repeated check
Exact steps for reading a particular page without automatic sensitive submission.
Where to find them
Open Assistela → Settings → Advanced → Reusable Workflows. The list shows available skills. Default workflows supplied with the app may be read-only; your own user workflows can be edited. The same page also shows available tools the workflows may use.
During work, Assistela can propose a new learned workflow or update one of your own. Read its full content like any other instruction before using it automatically.
What a good workflow contains
- A clear trigger: when it should and should not be used.
- Required inputs: such as project name, date range, or source file.
- Steps and boundaries: what it may read, what it may prepare, and where it must stop for approval.
- Output format: a concise summary, table, email draft, or saved file.
- Failure handling: what to do when an account, permission, or expected data is missing.
A saved workflow cannot bypass a disabled tool, missing macOS permission, or approval for a sensitive action. It describes how to work within access you have already granted.
Workflow versus scheduled task
- A skill describes how to perform recurring work.
- A scheduled task says when to run a particular instruction.
- You can combine them: a scheduled task can ask Assistela to use the saved weekly-report workflow every Friday.
Safe use
- First run a new workflow manually with harmless test data.
- Review the tools and result in the work detail.
- Do not put secret values directly into the workflow text; refer to protected accounts or items.
- Connect it to Scheduled Tasks only after a successful test.
- Test it again after a service or field name changes.
A skill can contain instructions for files, web, email, or terminal. Before importing or running someone else’s workflow, check its source, full content, and requested tools.
